Event Procedures & Refund Policy
Refund Policy:
If you call 15 business days before the tournament start date, a full refund will be given, minus a $50 administrative fee. If you call 10 to 14 business days before, 50% of your fee will be returned. If you call 9 or fewer business days before, no refund will be given.
Weather Cancellations:
There is a chance the tournament could be rained out. Please be aware that $50 of the entry fee will be kept to cover administrative costs if the tournament is cancelled due to weather or circumstances beyond our control.
Age Groups:
In the event the tournament does not fulfill the desired number of teams in a particular age division King of Diamonds Baseball reserves the right to combine age brackets. (Example: 9U with 10U.) This decision will be based on the number of teams that enter into each bracket. This will only be done at a last resort. If not enough teams are registered within a specific age bracket, the Tournament Director will notify the participants as soon as possible, and the participants will be given the option of playing or receiving a refund of their entry fee minus administrative fees.
Tournament Format:
The Tournament Director reserves the right to alter the tournament format, schedule and field assignment as he sees fit, in the event of inclement weather or any other extraordinary circumstances.
Team Expenses:
King of Diamonds Baseball will not be responsible for any expense incurred by any team due to the cancellation in part or whole of the tournament.
Game Guarantee:
The game guarantee does not apply to games not played due to forfeits or inclement weather. Under normal circumstances each team will play the guaranteed number of games, however King of Diamonds Baseball is not responsible for teams that forfeit games or games lost due to inclement weather.
Special Start Requests:
Before entering a tournament, make sure your team has no other conflicts on listed tournament dates. King of Diamonds Baseball is not required to accommodate any special game time requests. We will do what we can on an as needed basis. Teams need to be prepared to play on the given Friday evening on the FIRST DAY of the tournament.
Tournament Scheduling:
King of Diamonds Baseball will try to play teams 1-2 games per day if possible. In some instances, teams may be required to play 3 or more games in a day to accommodate the overall number of teams in the tournament.
Reserve Spot:
Your team will not be confirmed into any tournament until full payment is received.
Roster:
May never exceed 20 players during the tournament series. If you have players quit or transfer to a different team, they remain frozen spots on your roster. A player cannot play on two teams in the same tournament.
King of Diamonds Baseball reserves the right to review individual situations and make final decisions on roster rules. King of Diamonds Baseball also reserves the right to review player transfers and issue decisions on roster moves.
Game Times and Field Assignments:
Will be given out on the Tuesday prior to tournament after 5pm Eastern Time. You will receive game times and field assignments via e-mail and they will also be available on the tournament web site.
Birth Certificates or Proof of Age:
Copies of birth certificates or proof of age (e.g., driver’s license or state ID) will be required from each participant. These can be faxed, mailed or e-mailed prior to the tournament or collected at the pre-tournament check-in. We ask that you give us a photocopy (not originals) of the participants’ proof of age that we keep on file throughout the year.
